Purchase orders
Please contact your bp representative to confirm whether a purchase order has been created for the work performed.
Please contact the bp Supplier Helpdesk, who can assist with resending the interactive email.
bp has implemented a no-PO-no-pay (NPNP) policy, which requires suppliers to include a valid Purchase Order (PO) number on all invoices submitted for payment. Invoices submitted without a valid PO number may be rejected or delayed in processing.
This requirement applies to all invoices unless the goods or services fall under the approved non-PO category.

Service entry sheets (SES) / goods receipts
It is important that if a contract or catalogue with predefined rates exists, select the relevant line items and enter the actual service quantity using the correct Unit of Measure (UOM).
If no contract line items are available, provide a detailed breakdown of the services performed and attach supporting documentation for any ad hoc charges.
Ensure each line item includes a clear description and the appropriate UOM.
Please note that SES submissions with incomplete details or missing UOMs may be rejected by the system.
The SES number is determined by the supplier and can be any reference that supports your internal tracking of service sheets and invoices.
As a best practice, you may use a numbering convention that aligns with your invoice number. For example:
Invoice Number: INV101
SES Number: SS101
Using a consistent reference can help simplify the reconciliation and tracking of service entries and invoices.
No tax should be added to SES. If tax was included on the SES in error, please contact your bp requestor immediately and ask them to reject the SES. Once rejected, a new SES should be submitted with the service value excluding tax.
If a SES was submitted incorrectly with tax, please contact your bp requestor immediately. Alternatively, you may contact the bp Supplier Helpdesk, who can assist with requesting the SES rejection. Once the rejection has been processed, you can submit a new, corrected SES.
A goods receipt is performed internally by the bp requestor only after the requested goods have been successfully received.
The Quantity field accepts a maximum of two decimal places (e.g., 1.25). Values with more than two decimal places (e.g., 1.255) will be rejected and may cause payment processing errors.
If your pricing requires more than two decimal places, use the Price Per field to adjust the pricing while keeping the unit price to two decimal places.
Example:
Instead of: USD 0.005 each (per 1)
Use: USD 0.05 each (per 10)
Please ensure all quantities and prices comply with these requirements to avoid submission or payment delays.
Invoice / remittance
Your payment terms begin from the date the invoice is submitted, not the date the SES is submitted.
To estimate the payment date, add your agreed payment terms to the invoice submission date. If the calculated date falls on a weekend or non-business day, payment will be made on the next business day.
Example:
Invoice submitted: 1 January
Payment terms: 30 days
Expected payment date: 31 January (or the next business day if 31 January falls on a weekend or holiday)
You can also view the expected payment date in SAP Business Network by navigating to the Scheduled Payments tab. For additional guidance, visit the SAP Business Network Supplier Learning Site Portal
When a payment is processed, an email notification is automatically sent to the recipients configured in your company's account settings.
The notification includes a link to the corresponding remittance advice, which can be viewed directly in SAP Business Network
To view real-time invoice status updates, please register for bp's Supplier Portal. The portal provides read-only access to invoice information, allowing you to track the status of your invoices at any time.
Credit memos / correction service entry sheets (SES)
Please refer to the instructions on the Invoicing bp via SAP Business Network PO for guidance on submitting a credit memo.
Important: For service-related invoices, any required SES correction must be completed and approved before a credit memo can be submitted.
Open the SES that requires correction.
Select Create Correction Service Sheet.
Update the date fields if required.
Enter the correction by adjusting the Quantity or Unit field. Only negative values can be entered in a correction SES.
Click Next, then Submit.
Important: The correction (negative) SES will follow the same bp approval process as the original SES and must be approved before any related credit memo can be processed.
Tax / VAT
If the goods or services provided are subject to tax under applicable local tax regulations, the appropriate tax must be applied to the relevant invoice line items.
Please note that different tax rates can be applied to individual line items, and the system supports varying tax rates within the same invoice.
For line items that are not subject to tax, an exempt tax line must be added to each applicable invoice line.
Select the appropriate tax category (e.g., VAT, GST, Sales Tax) for each line item.
Click Add to Included Lines.
Under Exempt Detail, select Exempt.
Enter 0% in the tax rate field.
In the Comments field, specify:
Which line items are tax-exempt.
The reason the line items are exempt from tax.
Providing this information helps bp's invoice processing team accurately match and process your invoice, reducing the risk of delays.
If you do not have a VAT number, enter "Non-VAT Registered" in the Supplier VAT Number field to proceed with invoice submission.
To avoid entering this information on each invoice, you can update your company profile and enter "Non-VAT Registered" in the VAT ID field.
If you subsequently become VAT registered and begin charging VAT, please update your company profile with your valid VAT number.
You can manage your tax registration information in SAP Business Network by following these steps:
Go to Account Settings > Company Profile.
Select the Business Information tab.
Complete or update the information in the Tax Information section.
Keeping your tax details up to date helps ensure invoices are processed correctly and reduces the risk of payment delays.
